Visitor management for pharmaceutical and life sciences sites

Your hygiene, gowning and confidentiality wording on an iPad at reception, accepted by every visitor before they go through, and a timestamped record of who accepted which wording, ready for an inspection or a client audit.

Try it yourself, no sign-up

Sign in on a demonstration kiosk, then open the fire roll call on your phone. Do not enter real details: everything typed is deleted within the hour.

From £599 setup and £150 a month plus VAT, iPad and stand included.

Who this is for

A licensed site where every visitor is a question for the inspector

Licensed manufacturers, contract manufacturers and laboratories, inspected against GMP and audited by the clients they make for. Visitors are kept out of production and quality control areas where possible and supervised where not. Contractors service clean rooms and equipment, and client auditors arrive with confidential work to see.

What gets asked at reception

Who asks a licensed site about its visitors

The MHRA inspector

EU GMP Chapter 2 paragraph 2.13 says visitors should preferably not be taken into production and quality control areas, and if they are, should be given information in advance about hygiene and protective clothing and be closely supervised.

Your client’s auditor

A contract manufacturer is audited by the companies it makes for, and their auditors and project teams arrive with confidential work to see. Many sites ask them to accept a non-disclosure agreement at the door.

Information security

ISO 27001 Annex A 7.2 covers controlling physical entry and keeping a visitor log that can be protected, retained and reviewed. Clients running a supplier questionnaire ask about it.

Your own hygiene procedure

Some sites screen visitors for illness before a production area. If you do that on paper, the free questionnaire is a starting point; the kiosk records acceptance of your declaration, not answers to questions.

What the kiosk does

The rules at the door, and the record of who accepted them

Your hygiene and gowning rules, accepted

Your hygiene, protective clothing and confidentiality wording goes on screen as one text, and nobody is signed in until they accept it. Anyone who cannot goes back and speaks to their host.

The exact wording, against a name

Every acceptance is stored with the person, their company, their host, the time and the exact wording they accepted. Search by name, company or date and export it for an inspection.

Your channel told on arrival

Each sign in posts a message to your Microsoft Teams or Slack channel with the visitor’s name, company and who they are here to see, so the person supervising them knows to come to reception.

A roll call on a phone

When the alarm goes, your fire marshal opens the live list on their phone at the muster point and sees every visitor and contractor currently signed in.

See it work

A sign in and a fire roll call, in 100 seconds

A visitor signs in on the iPad. The alarm goes. The marshal opens the live list on their phone at the muster point and reads off who is still on site.

The player loads from YouTube only when you press play. Nothing is sent to Google before that. What happens when you do.

What it costs

One price, in public

Setup from £599, then £150 a month plus VAT. The iPad, the stand, hosting and support are included, and nothing is charged per visitor or per user.

Being straight with you

What this does not do

  • It gives the information at the door, when the visitor signs in, not in advance of the visit.
  • It does not supervise anybody. Keeping visitors out of production areas, or supervising them there, is your people’s job.
  • It takes no signature and asks no health questions. A visitor accepts your wording with one button, and the record says which wording and when.

Before you ask

The questions licensed sites ask on the first call

Does this satisfy GMP for visitors?

No software does on its own. Paragraph 2.13 is a should paragraph about keeping visitors out of production and quality control areas and supervising them when they go in. The kiosk puts your hygiene and protective clothing rules in front of each visitor and records that they accepted them, which is evidence towards it. The inspector judges the rest.

Can client auditors accept a confidentiality agreement at sign in?

Yes, as part of the text they accept. Your non-disclosure wording sits beside your site rules, and the record keeps the exact wording each person accepted and when. The wording can be different for each site.

Does the kiosk record health answers?

No. It shows your declaration and records that the visitor accepted it. It does not ask for or store an account of anybody’s symptoms, so special category health data stays out of the system.

Where is the data held, and for how long?

In the European Union, in Ireland, on ISO 27001 certified infrastructure, with every sub-processor listed on the security page. Records are kept for twelve months by default, or the period your company sets, and then deleted.

Next step

Tell us what your last inspection said about visitors

Fifteen minutes on the phone. Who inspects and audits you, how visitors reach your production areas today, and what they are asked to accept. We will tell you straight whether a kiosk is worth your time.

Book a 15 minute call

No site visit needed and nothing to install. If it is not a fit we will say so on the call.
