Visitor sign in notifications in Microsoft Teams

When a visitor signs in or a courier drops off, the kiosk posts a message to your Teams channel: who has arrived, from which company, and who they are here to see. It is a webhook, not an app, so there is nothing to install in Teams, and the same address works for Slack.

Try it yourself, no sign-up

Sign in on a demonstration kiosk, then open the fire roll call on your phone. Do not enter real details: everything typed is deleted within the hour.

Part of the platform: £150 a month plus VAT, setup from £599.

What is sent

Three things post to the channel

Each is a Teams Adaptive Card with a title and a short list of facts, cleaned of anything a visitor could type to make a link.

A visitor signs in

New Visitor Check-In, with their name, their company, who they are visiting and their vehicle registration if they gave one. A sign in held while the kiosk was offline says it was recorded late.

A courier drops off

Delivery Drop-off, with the courier company the driver picked or typed.

A visitor is still waiting for a badge

With the Secure Badge and Approval module: when nobody has approved a visitor’s badge in time, a message saying they are still waiting at the kiosk, with their name, company and who they are visiting.

What you set up

One address, pasted once

  1. 1

    In Teams

Whoever manages the channel your reception watches creates an incoming webhook for it and copies the address it gives.

  2. 2

    In the dashboard

Your company admin pastes that address into Settings, under Notification Webhook, and saves it. That address is used for every site in the company.

  3. 3

    A different channel per site

If each site has its own channel, send us the addresses and we set one per site. A site with its own address uses it; any other site uses the company’s.

Being straight with you

What this does not do

  • It posts to a channel, not to a person. There is no direct message to the host by name.
  • Nothing is sent when somebody signs out.
  • It is not a Teams app. The message carries no buttons, so a badge is still approved at the kiosk.
  • The same address works for Slack, because the message carries a plain text line Slack shows. No other chat tool is supported.

Before you ask

Questions from IT

Is it a Teams app?

No. It is a webhook: the kiosk posts a message to an address your Teams channel gives it. Nothing is installed in your Microsoft 365 tenant and the kiosk has no access to it beyond posting to that one channel.

Can the host be messaged directly?

No. The message goes to the channel your site chooses, and it names who the visitor is here to see, so the host or whoever is covering for them can pick it up. A channel that reception and the regular hosts watch is what most sites use.

Could a visitor put a link in our channel?

No. Every value a visitor types is cleaned before it is sent: the characters that turn text into a link in Teams or Slack are removed, so a name cannot arrive as a clickable link apparently sent by us.

What if Teams is down or the address is wrong?

The sign in still completes and is on the record and the roll call. A message that fails to send never stops a visitor signing in.

Next step

Tell us which channel reception watches

Fifteen minutes on the phone. How people get into your site, who needs to know when they do, and where your team already talks. We will tell you straight whether a kiosk is worth your time.

Book a 15 minute call

No site visit needed and nothing to install. If it is not a fit we will say so on the call.
