Add on Secure Badge and Approval
Printed visitor badges, approved by your staff
For sites where a visitor cannot simply sign in and wander off. The kiosk holds them at reception until a named member of your staff approves them by PIN, then prints a badge that says who they are and who they are here to see.
Sign in on a demonstration kiosk, then open the fire roll call on your phone. Do not enter real details: everything typed is deleted within the hour. Badge printing and Permit to Work are not in the demonstration.
£150 a month plus VAT on top of the platform. Label printer, badge stock and lanyards included.
How it works
No approval, no badge
- 1
They sign in and wait
The visitor signs in and accepts your site rules as usual, and is on the fire roll call from that moment. The screen then tells them a member of staff needs to approve their badge, with your own message and a countdown.
- 2
A photo, if your site wants one
Photos are off unless you switch them on. When they are on, the visitor lines up with an outline on screen and takes it at the kiosk, and you choose whether they can say no thanks.
- 3
A member of staff approves by PIN
An approver comes to the kiosk, picks their name, checks a preview of the actual badge and enters their six digit PIN. Approve, or refuse.
- 4
The badge prints
Approved, the badge prints and the visitor is told to take it. Refused, they are told they are signed in and to speak to a member of staff at reception, and no badge prints.
The detail
The badge, the approvers and the record
What is on the badge
The visitor’s name and company, who they are visiting and the date, under a band carrying the clearance level your site defines. A photo if your site takes one. You can change the layout in the dashboard.
Who can approve
Named members of your staff, for one site or for every site, each with their own PIN, managed in the dashboard. An approver can be limited to certain clearance levels. Five wrong PINs lock that approver out for fifteen minutes.
If nobody comes
After two minutes, or the time your site sets, the screen tells the visitor to speak to a member of staff at reception, and your Teams or Slack channel is told a visitor is waiting for badge approval.
What is recorded
Every request, approval, refusal, wrong PIN, lockout, escalation and print, with who and when, in a log that cannot be edited. Filter it and export it. Kept twelve months by default.

What it costs
£150 a month, as a module
On top of the £150 a month platform, plus VAT. The label printer, badge stock and lanyards are included and maintained. The module’s setup is quoted separately because it includes the printer.

What this does not do
- The badge prints in black. The colour coding that tells escorted visitors from cleared contractors is on the lanyard.
- It does not log a badge coming back. Collecting it at the door is a job for your reception.
- Approval happens at the kiosk. Nothing is sent to an approver’s phone or inbox, and the dashboard has no approve button, on purpose: whoever approves should see the person.
- A successful print means the printer accepted the badge. A printer out of labels cannot say so, which is why the visitor is told to take their badge rather than told it printed.
Before you ask
Questions about badges and approval
Does the visitor need a phone?
No. Everything happens at the kiosk: the visitor signs in on the iPad, the approver enters their PIN on the same iPad, and the badge comes out of the printer beside it.
Is a photo taken of every visitor?
Only if you switch photos on. They are off by default. When they are on, the photo is printed on the badge, kept with the visit record, and deleted automatically after the visitor signs out, within thirty days at most.
Can we print badges without an approval step?
Yes. Approval can be switched off for a site, and the kiosk then prints a badge straight after sign in. It is on by default, because approval is what most sites buy the module for.
What does it cost?
£150 a month plus VAT, on top of the £150 a month platform. The label printer, badge stock and lanyards are included and maintained. The module’s setup is quoted separately because it includes the printer.
Does this make us compliant with CMMC or NIST SP 800-171?
No kiosk makes anyone compliant. The module keeps the evidence the physical protection controls ask for, who was approved, by whom and when, and your assessor decides the rest.
Next step
Tell us who has to approve a visitor at your site
Fifteen minutes on the phone. Who approves, what a badge needs to say, and whether a customer has asked you to show it. We will tell you straight whether the module is worth it.
Book a 15 minute callNo site visit needed and nothing to install. If it is not a fit we will say so on the call.
