Contractor invoices
Check the hours on a contractor’s invoice against the hours they were on site
An invoice arrives for three days of an engineer’s time, and you approve it from memory because nothing at your site says when they came and went. Every contractor who signs in and out on the kiosk leaves a record with both times, and that record exports as a file you can lay beside the invoice.
Part of the platform: £150 a month plus VAT, setup from £599, iPad and stand included. Last reviewed 2 October 2026.
How you do it
Three steps, and the third one is yours
- 1
Filter the history to the invoice period
On the dashboard, set the dates the invoice covers and search for the contractor’s company.
- 2
Export it
The export is a CSV file with the five columns below. It opens in a spreadsheet without our software.
- 3
Lay it beside the invoice
You, or whoever approves the invoice, read the times on site against the hours on the invoice or the timesheet. Where they differ, you have a question to ask and a date to ask it about.

The file
Five columns, and no more
- NameThe person who signed in, as they typed it.
- CompanyThe contractor’s company, which is what you filter or sort by to pull one supplier’s visits together.
- HostWho at your site they came to work for.
- Signed inThe date and time they signed in on the kiosk, in UK time.
- Signed outThe date and time they signed out, in UK time, or “On site” if the visit is still open.
Being straight with you
What the record cannot tell you
- The kiosk does not read invoices and does not compare anything automatically. The comparison is a person with two documents.
- Time on site is not the same as time worked. The record shows when somebody signed in and out at your door, and that is all it shows. A difference from an invoice is a reason to ask, and travel, collecting parts and work done off site are all ordinary answers.
- Anyone still signed in at 23:59 UTC, which is 00:59 in summer, UK time, is signed out automatically at that time. The record shows the automatic time, not when they left, so a signed out time of 23:59, or 00:59 in summer, is a forgotten sign out and not a real exit.
- The record is only as good as the sign out habit. If contractors are not asked to sign out, the hours on site will not be there to read.
- Records are kept for the period your company sets, a year by default, and then deleted. Check an invoice while the visits it covers are still on the record.

Questions from the people who approve the invoices
Does the kiosk check contractor invoices?
No. It records when each contractor signed in and out, and exports that record as a CSV file. Checking it against an invoice or a timesheet is done by a person. An automatic comparison is a pilot and is not in production.
Is the record proof of the hours a contractor worked?
No. It is a record of the time between a sign in and a sign out at your door. A contractor can be on site and not working, or working for you somewhere else, so treat the record as a reason to ask a question and not as the answer.
What happens when a contractor forgets to sign out?
Anyone still signed in at 23:59 UTC, which is 00:59 in summer, UK time, is signed out automatically at that time. The export shows that time as the signed out time, so that visit’s hours on site are not real and should be left out of any comparison.
What does it cost?
The export is part of the kiosk platform: £150 a month plus VAT per site, with setup from £599, and the iPad and stand are included. Nothing is charged per contractor or per export.
